Webmail
To access email online, use Northwestern Outlook Web App. Log in with your NetID and password. The webmail portal also offers online versions of Office apps like Outlook, Word, and Excel, accessible by clicking the Office 365 button. Installing the apps locally is optional.
Do Not Forward Emails to External Domains
Email forwarding rules to unaffiliated domains (e.g., Gmail, Yahoo, or other non-Northwestern email addresses) are not allowed. Forwarding is only permitted between internal Northwestern email addresses.
Please note:
- If you set up a forwarding rule to an external domain, the emails will not be delivered.
- Neither the sender nor the recipient will receive an error message indicating the forwarding has failed.
- Forwarded emails may be lost and not recoverable, resulting in permanent data loss.

Setting up Email on Devices
macOS X
M365:
Before attempting to configure your account, ensure that Outlook is up to date. You can verify this by navigating to the Help Menu and selecting Check for Updates
- Launch Outlook and click "Sign in or create account" at the initial window
- Enter your full Kellogg email address and click continue
- It will prompt to the Northwestern Online Passport, enter your NetID password and sign in
- You will need to verify with DUO Mobile, then click on "Yes, this is my device"
Note: If the account does not configure successfully, verify the software is up to date and that your NetID credentials are accurate.
Windows
M365:
Outlook (Classic):
- Launch Outlook and click "Sign in or create account" at the initial window.
- Enter your Kellogg email address when prompted to do so; you do not need to enter your name and password at this time.
- Click Next.
- At the next login SSO page, your email will be pre-populated. Add your NetID password in the field beneath that and click "Sign in".
- Verification Required window, click "Continue".
- You will be prompted to enter the DUO code displayed on the screen into your mobile device in the Duo App
- On your computer, click "Yes, this is my device".
- "Sign into all apps, websites and services on this device?" click yes
- Account added to this device - click "Done".
- The next window will say "Your Privacy matters" (MS Services Agreement) - click "Close".
- You will see your email address in the Email Address field shown, click "Connect"
- If you see a page that says "Add a service" and an error saying "we couldn't find your account" with the address displayed as [NetID]@kellogg.local, change that line to your email address and try again, you will need to take another DUO code.
- On the next screen, uncheck the box that says "Set up Outlook on my phone, too" (unless you'd like to connect your phone using a QR code) and click "Done".
- It will take a few minutes for your account to fully load, but you will see the default email view once it has finished.
New Outlook:
- Launch Outlook and click "Sign in or create account" at the initial window.
- Enter your Kellogg email address when prompted to do so; you do not need to enter your name and password at this time. Click "Continue".
- "Select your email provider" - select Microsoft 365 Office365, Exchange
- You will then come to a Microsoft Sign-in page with [NetID]@kellogg.local entered as the account. Change this to your Kellogg email address and click Next.
- At the next login SSO page, your email will be pre-populated. Add your NetID password in the field beneath that and click "Sign in".
- Verification Required window, click "Continue".
- You will be prompted to enter the DUO code displayed on the screen into your mobile device in the Duo App
- On your computer, click "Yes, this is my device".
- The next window will say "Sign into all apps, websites and services on this device?" click "Yes"
- Account added to this device - click "Done".
- "Signing you into the new Outlook for Windows" - "If you would like to sign in with a different account, close Outlook and reopen it". You are signing in for the first time and you want to sign in to your personal account, so ignore the "Close Outlook" button below.
- You'll see "Setting things up" and then "Add all your accounts" and "Getting Outlook ready".
- After those windows finish, you'll be logged in!
Mobile
When setting up Outlook on your mobile device, you may be prompted to create a PIN or passcode. Click here for more information.
Android:
- Navigate to your Email Settings
- Select Add an Account
- Select Exchange
- Enter your full Kellogg email address and NetID password
- Click Next, and you should be prompted to enter more information.
- In the sever field enter outlook.office365.com
- All other ports and security options should stay at their default.
- Click Next, and you will be prompted to accept Security terms, modify sync settings, and set a display name for your account.
There are several versions of the Android OS. These steps may not work on all devices.
iPhone or iPad:
- Navigate to Settings and scroll down to Apps
- Select Mail -> Mail Accounts -> Add Account
- Enter your email address or select choose from a list
- Enter your full Kellogg email address, and choose the provider (Microsoft Exchange) and a name/description to identify the account on your device
- When prompted, select Sign In and "settings" wants to use microsoftonline.com, click Continue
- Enter your NetID Password and select Next
- DUO Mobile verification will be required; then click on "Yes, this is my device"
- Finally, select the services you want to sync with your device and tap Save
Shared mailboxes
Outlook Configuration (PC and Mac)
To configure a shared mailbox in Outlook for Windows:
- Click on the settings gear in the upper right.
- Go to Accounts > Shared with me > Click the "+ Add" button.
- You will see another page open titled "Add a shared email account".
- Enter the email address for the shared account in the field provided.
- Click "Continue".
- You should then see "Shared email account added". Click the "Restart Outlook" button.
- When Outlook reopens, you'll see the shared mailbox under your own in the list of connected accounts.
To configure a shared mailbox in Outlook for Mac:
- With Outlook open, select the Tools menu
- Under Accounts, select your mail account and click on Delegates & Sharing
- Under "Shared with Me" click on the Plus (+) sign and type in the mailbox you need to configure
- It should start auto-populating as you type. Select the mailbox and click Add—it should then appear in the list.
Webmail access for a shared mailbox
To access a shared mailbox directly in webmail, you can use this URL:
outlook.office.com/mail/alias@kellogg.northwestern.edu (replace "alias@kellogg.northwestern.edu" with the actual email address)
You can also access a shared mailbox from webmail following these steps:
- Login to webmail with your NetID credentials.
- Click your initials or profile picture in the top right corner of the screen.
- Select "Open Another Mailbox"
- Begin typing the name or address of the shared mailbox and select it from the drop down menu.
- Click the "Open" button to access the mailbox.
If you are a student and are not able to access a club shared email account, please contact the club leadership team to request access to a club shared mailbox. They will verify membership and place a request with KIS to have you added to the shared mailbox.

Q: What is my email storage capacity?
A: The default mailbox size quota for Northwestern Office 365 email accounts is 100GB.
Q: What is my email attachment size limit?
A: The maximum email attachment size in Exchange is 25MB. However, due to encoding, the effective limit is closer to 20MB. For files larger than 20MB, we recommend using OneDrive or SharePoint for sharing.
Q: How can I get directly to Outlook Webmail Application (OWA)
A: You will access your Northwestern Microsoft Office 365 webmail portal at this link.
Q: When I log in to webmail, why don't I see any of my folders? (Inbox, Sent Items, etc.)
A: Upon logging into webmail, your data is initially collapsed in the "Folders" menu on the left side of the screen. Expand this menu to access your account folders (Inbox, Sent Items, Deleted Items, etc.) and any custom subfolders you've created.
Q: How do I know which rooms are available?
A: You can view on the calendar when a room is open or busy for each time block.
Q: I'm a student and want to try to swap times with a group that is using a specific room. Will I be able to see a description of what the room is being used for on the calendar?
A: No. For all Kellogg rooms, you can only see its status (open or busy). You will not be able to view the meeting's subject title or the name of the person who scheduled the meeting. Q: I have a corporate machine, and connect to my company VPN. Will I be able to configure my account using this connection?
A: Depending on the configuration of your corporate laptop and the VPN settings it may not be possible to complete your account configuration. If this is the case, you may need to connect to the Northwestern VPN network directly to complete the configuration.
Q: I have logged into webmail, but I'm at a page with icons for the Office Applications. How can I actually view my messages?
A:To use the webmail version of Outlook, click the Outlook icon under "Collaborate with Office Online" after you have logged into webmail.
