The following Human Capital resources are available to managers and new staff. For questions regarding NetID creation and account status for FT/PT staff, NU Temps, and Summer Hires, please consult Human Capital or Northwestern Central HR directly.
Managers hiring new staff should submit the Kellogg Onboarding Form within 20 to 30 days of the new hire's start date. This form details the specific access the new staff member will require for their position, including listservs, distribution lists, shared mailboxes, and etc.
Note: Once the new hire has received and activated their NetID, their manager should complete and submit the onboarding form to provision the appropriate system access.

Note: For FT/PT staff, NU Temps, and Summer Hires, KIS does not manage the NetID creation process and cannot provide a turnaround time. Please follow up with your Human Capital Partner or Northwestern HR for status updates. For contractors, submit the Kellogg Onboarding Form and KIS will issue the NetID manually.
Getting Started — New Hire Device Setup
Once your new hire has activated their NetID, direct them to the Getting Started page to complete their initial device setup — including DUO Multi-Factor Authentication, eduroam WiFi, Kellogg email, VPN, Zoom, printing, and more.
Provisioning Access
Once the new hire has received and activated their NetID, their manager should complete and submit the Kellogg Onboarding Form detailing the specific access required for their position. This includes:
Listservs and distribution lists
Shared mailboxes
SharePoint site access — department SharePoint owners are responsible for granting access. You can find the list of SharePoint site owners here.
Computer Options
Full-time and part-time staff can determine what kind of computer will work best for their position in consultation with their manager. Available computer options for new staff are outlined here. Once a computer and any peripheral devices have been selected, KIS will initiate the ordering process, which is detailed here.
NU Temps and contractors will either receive a departmental loaner laptop or use their personal computer.
Software Eligibility
Microsoft Office Microsoft Office licensing is based on NetID affiliation. Access to the full desktop version of Office is limited to full-time and part-time (non-temp) staff paid by Northwestern. The following exceptions apply:
Contractors using Kellogg computers are not eligible for the full version of Office and are required to use Microsoft Office Online (web-based).
NU Temps do not receive full Office 365 access unless they hold a student affiliation, in which case access is granted via that affiliation. Temps without a student affiliation cannot use the local version of Microsoft Office.
Adobe Creative Cloud Northwestern University's agreement with Adobe offers the Acrobat Pro software for use by faculty and staff. Northwestern students, contractors, and temp workers are eligible for Adobe Express Premium access through Northwestern. For more information visit Adobe Software.
Equipment Allocation
Providing IT Equipment: Departments are responsible for providing laptops or desktops to Summer Hires. KIS does not loan out laptops or other IT equipment. If using department laptops, drop them off at the KIS Global Hub Office at least two weeks before the Summer Hire's start date for quality checks, imaging/OS installation, and software installations.
Personal Computer Usage: It is strongly recommended that the department provide a Kellogg-owned computer to Summer Hires to ensure data security.
Additional Equipment Purchase: Departments needing laptops and peripherals must purchase them. The request should be sent to KIS at least four weeks before the start date. Refer to the Hardware Purchasing for Staff article for the purchasing process and timeline.
NetID Account, Access & Permissions
NetID Account Setup: A Summer Hire's NetID is generated through NU systems. Your Human Capital Partner will forward you the NetID activation email after they receive it. KIS does not manage this process and cannot provide a turnaround time.
Important: If the NetID is not generated by the start date, KIS cannot assist with laptop configuration, system access, or permissions. If you have not received a NetID activation before your Summer Hire's start date, please follow up with your Human Capital Partner.

Microsoft 365 web applications — 99% of Office features are available via the web. Desktop apps are not necessary for most cases and should only be considered for particular circumstances. Note: Contractors and temporary employees cannot use locally installed Microsoft Office. Desktop licenses are limited and should only be assigned to individuals who cannot perform their roles using Office web applications. Exceptions require approval from your administrative departmental director, academic department chair, or dean's office.
SharePoint Access: The department is responsible for granting Summer Hires access to department SharePoint sites. You can find the list of SharePoint site owners here.
Other access (shared mailboxes, distribution lists) must be specified in the Kellogg Onboarding Form.
