Reserving a Conference Room


For Kellogg Faculty and Staff: Reserving unrestricted conference rooms at the Kellogg Global Hub, Jacobs Center, and Church St.


Using Microsoft 365 desktop application on Windows OS

  1. Click the Calendar icon on the left-hand navigation menu.

  1. Click New Meeting from the ribbon.

  

  1. A meeting window will open, as shown in the image below. Enter your meeting title in the Title field and any description you want to add in the blank box below the Location field.



  1. Click the Scheduling Assistant menu at the top of the Outlook window.

  

  1. Your name will appear under Required Attendee automatically. Add any required or optional attendees (People you would like to attend the meeting and not any rooms because you will add that in another section).

 

  1. Enter the appropriate date and time for your meeting in the Start Date and End Date fields, referring to the availability in the right-pane window.

  2. If you want a quick search and know the room number, click Add resource under Resource (Room or Equipment) and find rooms. Otherwise, click Add Rooms from the ribbon and search for rooms.


       Search tips: Type ‘Kellogg Global Hub’, ‘Kellogg Jacobs Center’, or ‘Kellogg Church’ to find the respective building’s conference rooms.


         If you are finding rooms using Add Rooms option from the ribbon, follow the steps below:

         a. Click Add Rooms to open the Select Rooms window.

          b. Type the building name, as suggested above, in the search box, press the ‘Enter’ key on your keyboard, or click the arrow next to the              search box.

       

           c. Select an appropriate conference room (that doesn’t have Restricted at the end). Then, click Rooms, followed by Ok.

         

         d. After confirming all the details, click Send.
