Distribution List Management in Cayosoft

I. Overview

The Self-Service Group Management Tool (Cayosoft) provides Distribution List owners with an efficient way to manage group membership and permissions.

For the best experience, we recommend using Google Chrome or Firefox instead of Microsoft Edge when accessing Cayosoft.

II. Accessing Cayosoft

Log in with your NetID and password at the Cayosoft Self-Service website. If accessing from off-campus, first connect to Global Protect VPN.

III. Managing Group Membership (Adding and Removing Members)

  1. On the left-hand navigation menu, click on "My AD Groups."
  2. This screen will display all the distribution lists you own.
  3. Select the distribution list you want to update.
  4. Once highlighted, click "Membership" in the upper right-hand panel to update who receives emails from the distribution list.
  5. To add a new member, type their name or NETID in the "Find" field, then click "Add."
  6. If multiple matches appear, use the column details to select the correct entry. Click the checkmark next to the correct user.
  7. To remove a member, click on their name, highlight it, and then click the "Remove" button at the bottom.
  8. You can also click the "Advanced Search" button for alternative ways to find someone, ie. only using their first name, etc.

IV. Managing Group Owners (Adding or Removing Owners) 

  1. To add an owner, click "Properties" in the right-hand panel.
  2. In the new window, select the "Managed By" tab.
  3. Click the "Add" button.
  4. Enter the name or NETID of the new owner.
  5. Highlight their name, then click "Update." The new owner can now manage the group’s membership.
  6. To remove an owner, click "Properties" in the right-hand panel
  7. In the new window, select the "Managed By" tab.
  8. Highlight the name of the person you want to delete from the list then click the "Remove" button.

IV. Change History: Viewing Membership Changes

  1. To view a confirmation history of added or removed members, click on the "Change History" link in the upper right-hand panel.
  2. The newly opened page will display a log that records the name of each person added or removed, along with the date and time of the change.
